Of course, that means a constant fight with the battery indicator on your phone. We put together some tips for saving your battery when a plug is not always available.

Reduce Your Screen Brightness

While most people think that your apps are drawing the most power, its actually your screen that is the power hog. Making small adjustments in the screen’s brightness, power, use can make a big difference in your battery life.

Turn off Wi-Fi or Cell Data

While at an event, there is usually only one good source of internet, either cellular data or wi-fi. And because you are only confined to a single venue, it doesn’t make sense to try to connect to both constantly. Turn off the connection method you don’t need to save valuable battery life.

Adjust Data Settings

Our phones are constantly pulling information for apps that are in the background and aren’t necessarily needed at an event. It’s easy to turn that function off and save the battery life that comes along with it.

Turn Off Automatic App Updates

Keeping your apps on the latest version is important, but it might be worth the tradeoff while trying to save battery at an event. Easily adjust your settings to turn off automatic updates so you don’t use up more bandwidth or battery than needed.

Turn Off NFC/Bluetooth

Every cool, advanced technology on your device takes up battery. While many are useful to your event, the ones that you aren’t using can be turned off to save some juice.

Just to be Safe: Get a Backup Battery

At the end of the day, no method guarantees that you will get through the day on your battery. Just to make sure you have your device when you need it at most during your event, grab a quick back up battery.

Beacons - Now Integrated with EventEdge

At EventEdge, we are always striving to continue to enhance the attendee experience using technologies that are useful but not disruptive to your event. With that in mind, we are glad to start rolling out Bluetooth Beacons. We took a lot of time to integrate a system that allows organizers to customize how they use the technology, so read on to learn more.

What are Bluetooth Beacons?

Bluetooth beacons use a technology called Bluetooth Low Energy (BLE). Most newer smartphones contain a special chip that can constantly scan for other BLE signals and when they find one, they can figure out the distance between the device and signal. Beacons are small, stand-alone electronic devices that send out this signal and allow you to build proximity based services.

How Can You Use Them?

Beacons allow you to add automatic, background proximity sensing to your event and then use that to trigger actions. For example, you can integrate a beacon at the entrance of your venue and show a welcome message when your attendees enter. Because the beacons don’t require Wi-Fi or a power source, you can place them around your venue freely.

How They Work with EventEdge

We put a lot of time into thinking of best way to integrate beacons and we decided the best way was whatever works best for your event. We built a flexible platform that allows you to trigger events in your app that are customized for you. You can unlock gamification tasks, load pages, or use beacons for check in. The options are endless.

What’s Coming Next?

At EventEdge, we have just started exploring the best way to use the new technology at events. We are working on turning your device into a beacon to enhance contact swaps and attendee communication along with some cool new indoor mapping technology.

Interested in adding Beacons to your event? We look at some of the new features and advantage and see how event organizers can leverage the new technology. Take a look and let us know if you have any thoughts.

With the iPhone 6, 6 Plus, and iOS 8 out in the world, we have had a chance to look at how the Apple ecosystem is evolving and how event organizers can continue to take advantage. We put together a few features and integrations to keep in mind as you develop a mobile presence and future event apps.

Big Screen, More Productive

Apple is the last major company to join the big screen bandwagon and it’s a long time coming. Event organizers are spending more time than ever working from their devices, and the bigger screen makes it possible to be even more productive. While the ability to run apps side by side is still missing, the larger screen should mean event organizers have to spend less time switching to their computers.

Use Extensions to Connect Apps

iOS 8 has introduced extensions which allow apps to connect to other apps directly. Its not as fluid or open as Android, but can make some functions really easy. Event organizers can now save documents directly to Dropbox or other services, use your favorite photo apps to edit photos, and save notes in your favorite app.

Time to Ditch the Extra Camera?

iPhones have always had some of the best cameras on the market, but the new models take it to a new level. With such amazing cameras, it might finally be time to no longer need separate SLR cameras. Plus, with all your attendees having great cameras on them, you can get rid of professional photographers and create a photostream right in your app.

Notifications that Matter

iPhone has been left behind when it comes to notifications. iOS 8 starts to remedy that problem with better notifications that can actually be interactive. Organizers can now reply, mark items, and get work done quicker than ever.

The iPhone 6, 6 Plus, and iOS 8 continue to make Apple products the go to for event professionals worldwide. In light of the newest iCloud breaches, we decided to put together some tips that will help keep your data secure and for your eyes only. Have any additional tips? Let us know on Twitter.

Do Right Now: Lock Your Phone / Apps

We pull our phones out an average of 150 times a day (according to KPCB’s Annual Internet Trends Report) and having a password can be a bit annoying. However, its a small price to pay for security. Our phones are constantly logged into our emails, banks, and other sensitive areas and putting a password or pattern lock is an absolute necessity. For those of you who hate entering complicated passwords, you can also use other methods like Apple’s TouchID or Motorola’s NFC unlocking.

As Soon as You Can: Change All Your Passwords

Yes, passwords are annoying to enter and tough to remember but they really are the only line of defense between unsavory characters and your data. We suggest making sure passwords to all your accounts are different and have long, difficult to guess phrases. Having trouble managing all your accounts? Use a secure solution like LastPass or 1Password to make it a bit easier.

As Soon as You Can: Enable Two Factor Authentication on Important Accounts

Passwords can still be broken, even if they are secure. That is why many major companies like Google. Apple and Facebook have added Two-Factor Authentication to their services. The system works by requiring you to enter your password, then also sending you a random code to your phone that you must enter to get into your account. It means you must know your password and have your phone, something that is very difficult to get. In most services, you can go to the screen where you reset your password and set up Two-Factor Authentication.

Do it Continuously: Backup Your Data

While letting a third-party view your data is a major problem, losing your data can be just as frustrating. That is why an important part of keeping your data secure it making sure you it’s not all in the cloud. Keep offline backups of all your sensitive data so that you always have in case your need it.

Our apps for conferences, events, and meeting are secure out of the box, but we are always happy to hear more. Send us a message on Twitter or an email if you have any additional tips you think we should add to list.

What to Event Organizers Can Expect with a New iPhone

Amid the multitude of new product announcements coming this fall, the most anticipated by far is the new iPhone. Apple's flagship device is popular throughout the world, but has gained a real traction with event organizers. With simple interaction and tons of apps, its no surprise. With the new iPhone being announced in the next few weeks, we take a look at what to expect. These features are just what we expect, not confirmed. Apple's legendary reputation for secrecy is alive and well.

Likely: Larger Screens

Our phones have become a lot more than just communication devices. The smaller screen that Apple loves is no longer good enough for the way we consume information and interact with our devices. That is why most people expect a larger screen in the iPhone 6. For event organizers, it means moving even more media and interaction to mobile devices.

Likely: Better Camera

Smartphone cameras have gotten a lot better, but they still can't replace SLRs for taking really great pictures. Apple has lead the way with mobile device cameras, but its not quite there yet. If the iPhone 6 can push cameras even further, event organizers can ditch official photographers and let their audience become the documenter of an event.

Likely: Faster, Smoother

With event organizers working off their devices, speed matters. As much as we love the iPhone, it does slow down when you have 20 different apps open at a time and switching between them can laggy. With a better processor and new software, the new iPhone could make getting work done for event organizers a bit easier.

Less Likely: NFC

At EventEdge, we love NFC since its an easy way to connect users at an event, but Apple has held out from implementing it. If the iPhone 6 ends up with NFC, it could open lots of doors for making your event app even better.

We also expect lots of design changes and minor updates, but hopefully the iPhone 6 keeps making event organizers more efficient. We look forward to the announcement on September 9th. Have questions about iPhone event, conference, and meeting apps? Following up and extending the relationships beyond the event is a standard part of the post-conference process. However, event organizers rarely take the time to do a their own post-event follow up and miss out on an opportunity to strengthen their audience for future events. Here are a few tips to get the most out of the process.

Identify Your Top Influencers and Personally Follow Up

There are different levels of influencers at any conference. The top ones facilitate enough connections that they can be a draw to many events. Keeping them coming back can be difference between being successful and unsuccessful. Directly following a conference, follow up with your influencers with a personal note or quick phone call. Building a personal relationship can really help build momentum for future events.

Thank Your Speakers with a Nod to the Future

Organizers put a lot of time and effort into finding the right speakers for their event, since they have an outsized impact on your conference. To make the process easier for the future, start at the end of your previous event. Make sure you thank your speakers and send them feedback on their content and delivery. Most importantly, subtly lay out your calendar for future events that might be interest. Making an approach in the future is easier if they see it coming.

Get Fresh Feedback without Pushing

Organizers always want to get feedback from their attendees, but many times attendees skip over the step. To ensure that you are getting the maximum amount of feedback, incentivize your attendees with follow up prizes or discounts to future events. In addition, turn your attendees into evangelists by using the feedback to truly improve future events.

Send Periodic Updates

The beauty of mobile apps and social network is that you can consistently keep in touch with your attendees. Increase your repeat attendance by sending periodic updates and staying engaged through social networks. It’s also useful to post videos and content from your event often to remind attendees of their experience.

Looking to embrace technology to improve your experience before, during and after your event? After a few weeks with new Google Wear watches, we tried them in a few event settings. Here is what we learned.

Good: Get Notifications Without Your Grabbing Your Phone

Keeping your attendees engaged during an event is a top priority. Smartwatches help in that regard, by letting you get a glance of your notifications without pulling out your device. Plus, it reduces the urge to respond to items and keeps your attention on what's going on in a session.

Bad: Notification Overload

On the flip side, having easy access to all notifications can lead to overload. With such easy access, it hard to simply silence your smartwatch and ignore the notifications. This can mean grabbing attention away from the event and onto the wrist.

Good: Glanceable Information

Sometimes you just need to grab a quick note or look up a simple piece of information and smartwatches are ideal for that. You can send a text, make a quick note, or do a mini google search. It’s a great platform to build in event actions like contact swap, checking meetings or answering live poll questions.

Bad: Incomplete Information + Phone Grab

Distilling often complicated information into a single notification means its easy to miss important details. This leads to the need to grab your phone out of your pocket all the time to get the full picture and can often be much more distracting than just using your phone.

Overall, smartwatches are well on their way to becoming integrated pieces of our digital lives. As they become better, event organizers would be smart to continue to embrace the technology along with event apps.

Looking to take your event mobile? We have combed through the millions of apps to give you a few of our best suggestions.

Evernote (+Hello)

Download

Count us as huge Evernote fans. Simplicity is the key to making Evernote the most useful app we have come across. The simple interface allows you to take notes, organize documents, and grab websites while keeping all your information synced across all devices. A great add-on is the companion app Hello which lets you track the people you meet, organize contact information, and network more effectively. For event professionals, both these functions can be essential to planning events and building your business.

Mailbox

No longer available

Email is essential to any event organizer’s productivity, but many times it ends up hurting more than helping. Mailbox is a unique app that hopes to solve that problem with a creative design and well thought out gestures. While you may never actually catch up on your email, stay organized and in the know with minimum effort.

Sunrise Calendar

Download

For event organizers, life seems to revolve around their calendar. The standard smartphone calendars are not up to task, so we prefer the Sunrise calendar. The calendar does a great job organizing all your information, showing relevant information, integrating maps, and syncing across all your devices. With an easy to use, creative interface, we really wish Sunrise was the standard and not the exception.

AirDisplay

Download

Event organizers live off their laptops and iPads, so why not use the two together? With AirDisplay, you can use your iPad/iPhone/Android device as a second monitor and increase your productivity. It may not seem like it, but a second monitor can really help when trying to get work done on the go.

Pushbullet

Download

With event organizers carrying around so many devices, keeping everything in sync is a challenge. Pushbullet lets you automatically and easily send files from your desktop to your mobile device and vice versa. Send proposals, RFPs and other important information back and forth with ease, saving you time to do the really important things.

IFTTT

Download

IFTTT stands for ‘If This, Then That’ and works as a backbone for exchanging information across various services. We look at how things have been going in Brazil for the 2014 event and lessons that event organizers can use for their (slightly) smaller events.

It amazing to think that it takes 8+ years of preparation for a month long event, but that is the case with World Cups and Olympics. While event organizers work on a shorter timeline and with much less resources, we can learn from Brazil. Here are a few lessons we noticed that you can apply to your meeting or conference.

Stay Within Your Means

It seems to happen for every worldwide event: the budget is obliterated well before the event even starts. When an entire country is behind you, that is possible. For event organizers working on a slightly smaller scale, this can't happen. Brazil's World Cup has taught us that its important to manage expectations and meet your goals within budget. For event organizers, this means finding and spending precious capital on things that matter and that will add value to the overall event experience.

Keep Your Attendees Together

Soccer/Futbol fans from all over world flock to a host country to see the World Cup, but the on-field product is only part of the experience. Half the fun and benefit is meeting people from all over the world. For conferences and events, that means making sure you focus on experience beyond your sessions. Make sure your attendees spend as much time socializing and building real, lasting relationships.

The City Matters As Much As the Venue

Brazil has built some amazing stadiums, but where they are located matter just as much. Choosing a host city means finding the right mix of convenience, culture, entertainment, and resources beyond just finding a venue that fits. Your attendees will spend just as much time outside the doors of your venue as in it - make sure you consider that when building your event experience.

No Matter What, the Content Makes the Most Impact

At the end of the day, Brazil's World Cup will be remembered for what happened on the field. Similarly, your event will ultimately be judged by the content you spread. For companies, its important to know they are getting a good return on their investment and building creative, engaging sessions is usually the best way to make sure that happens.

If you are like us, you will miss the World Cup, but there are plenty of chances to use the lessons from it in your upcoming events. Send them to info@eventedge.co and we may include you on our next blog post.

Introducing Gamification from EventEdge

We have been working on a series of features to continue to push our amazing EventEdge apps to the next level. After testing through a few events and polishing, we are happy to announce that Gamification is now available as an add on feature. Learn how we built the feature to add a whole new level of interactivity and a competitive element to your event.

Easy to Start

We organized our gamification around simple tasks to making getting started easy. Simply create tasks on our backend, choose the method of redemption, and that is it. Need to dive a bit further? You can also group tasks, make them featured or assign multiple point values. When designing gamification, we made sure to simplify for already overworked event organizers.

Multiple Ways to Earn Points

We realized that events are fluid and always changing and redeeming points should be simple. With that in mind, we built in three methods to redeem points into our gamification. First, you can get points by putting in a simple, numerical redemption code. Second, you can get points by scanning a specific QR code. And last, we integrated Snowshoe Stamps to get points by tapping your stamp. By making it easy to get points, we made sure that attendees will interact and engage with your gamification element.

See Who is Doing What

Having a leaderboard is a must have, but we allow organizers to drill down under individual attendees and see how they are earning their points. It both adds value and saves money. Event apps also create a lot of information that event organizers can use before, during, and after your event. We break down some of the actionable ways data can inform decision making.

Making Venue Choices

Find right venue with the right configuration is always a challenge for event organizers. With event apps, it can be a little easier. Because the apps let attendees plan out their schedules and figure out how they plan to spend time at the event, the organizer gets valuable data in advance of the sessions. This means that popular sessions can be moved to larger spaces, rooms can be reconfigured to reduce travel time and event staff can be assigned to popular areas - all in advance.

Who Are The Impact Speakers/Attendees

Gauging interest is always a challenge that event organizers face. With event apps, organizers can easily track profile views and connections with certain speakers and attendees well before an event and see who is the most popular. Have some uber popular speakers? Make their sessions longer or ask them do an informal meetup. Have well connected attendees? Find a way to incorporate them into your event or use them to market to other attendees.

Pre-Event Surveys

A new trend in pre-event communication has been getting feedback from your attendees before an event starts. With event apps, that is easier than ever before. Find out food preferences, how people plan to travel, what attendees want to see and use that information to better use your resources. Its a win-win.

Post Event Reports/Adjustments

One of the hardest things to do is get hard data on where your event succeeded and where it didn’t. With event apps, you can use a combination of surveys and data from how users used the app to make informed choices for future events. Data makes decision making easier. Plus, you can offer your sponsors and executives data to justify your next event.

How to Market Your Event App

Marketing might be the most important part of an event organizers job. Planning an amazing event means nothing if no one knows about or experiences it. That is why event organizers have become some of the best marketers out there. When it comes to your apps, it's important to get them into the hands of your attendees. We put together a few strategies event organizers can use to let their attendees know about your apps.

Before: Email is Your Best Friend

With today’s modern registration systems (like our partners at Event Farm) it’s ridiculously easy to send out mass emails to your attendees and invitees. Plan a date before your event (we recommend a month) and send out a pre-formatted email with download links. The majority of attendees check their email from their mobile devices and can just click on the link and download directly.

Before: Use Your Website

The majority of attendees will check your website before traveling to your event for details on transportation, hotel, etc. Use that as an opportunity to get them to download your app before they get to your event. Put download links and instructions on each of your website pages to make sure attendees get the message.

At Check In: Download Reminders and Pages

As users are checking in to your event, it is the perfect time to remind them to download the app. We provide download pages you can post with QR codes and designs for handouts to drop in your event bags. Make sure your attendees have the app before they start their event experience.

Don't Overdo It When Creating an Event App

Event apps are amazing tools for conferences, corporate meetings, and exhibitions, but after hundreds of apps, we have learned that its important to balance the line between use and distraction.

It’s now a necessity for every conference and meeting to have an event app, but like any tool for an event, the key is the maximize value. We have worked with many event planners and here are the lessons and rules we try to follow:

Intuitive Beats Complicated

The best event apps are the ones that add to the event experience without getting in the way. As an organizer, you want your attendee to have the information they want, when they want it. When planning your event app, make sure you put the important information and features at the touch of a button. It’s a bad sign If your attendee spends time looking through 25 features for the information they want, rather than paying attention to your event.

Limit Your Features

It may seem strange coming from us, but we are truly interested in making sure your event is the best it can be. Part of that is avoiding ‘Zombie Apps’ or apps that simply cause all your attendees to stare at their devices the entire time. Attendees come to events to get face to face time and experience great environments and apps should not get in way.

Social Media is Great, Except When It Isn’t

Posting to Twitter and Facebook is one of our favorite things to do, but during an event, you want your attendees to post smarter. Rather than trying to experience their event through a social network, keep them engaged with your event and use social media to extend your reach.

Find out more about how to build an app that enhances your event, not distracts from it.

Weekly Event Read: 4/23

In this week's event read we bring you 10 ways to improve your email marketing, 10 ways to reduce no-shows and 10 start ups you should be aware for their innovative ideas to better attendee experience at your next event.

10 Ways of Email List Segmentation

By Damon Wee, GEVME
Email still tops the list when it come to reaching out to target audience. In the digital age, email has been the go to method, but with the rise of mobile event apps, PUSH messaging is both more effective and cost conscious. Here is why you should be using PUSH to send out general event messages.

Don’t Get Lost in the Inbox

Email acts as a convenient, easy way to message - which is why everyone uses it. Most professionals get so many emails a day that their email box is full of unread messages. If you have an important message to get your attendees, don’t let it sit unread in an inbox. With PUSH messages, your attendee get a message directly on their device with your information front and center.

No Filters to Fight

Sending out emails is usually easier when you use a service that will manage your list. However, these services also tend to hit spam filters. That can be a major problem if your emails are not getting through to your attendees or sponsors. With PUSH messages, you can make sure that your message is getting to your audience instantly.

Target Who You Need To

If your event app includes accounts, you can target your attendees down to the individual person. This makes it easy to send personalized messages and send out important information only to attendees you want and have it pop up directly on their device.

While PUSH messages won’t be replacing email any time soon, they do give event organizers a better, more effective way to communicate with their attendees. Services that were once considered luxuries are now essential to having a great event. However, not all venues and locations have caught up with the times. We look at how event organizers can take advantage of new technologies like event apps even when connections are less than ideal.

We all know the feeling. You are an event organizer who shows up at a venue, ready to host an amazing event, and the first thing you see is no bars. Its both frustrating and detrimental to your event. Plus, event attendees have come to expect strong mobile service and wi-fi to keep them connected throughout your event.

So how do you plan an event where you know network connection will be minimal? After experiencing these conditions at various events, we came up with a few tips below:

1) Know before you plan

Visiting a venue before booking for an event is common, but measuring connection while you are there is also essential. It is very difficult to plan for technology use when you don’t know the situation. There are many tools to help you in the process from getting connection maps to getting venue-provided wi-fi range and speed statistics.

2) Don’t make essential functions depend on connection

It is easy to fall in love with the latest technology, but anything that requires connection is useless when one is not available. That is why its important to make sure functions like registration, audience response, and media should all be available without requiring connection. The worst thing that can happen is not letting your event move forward because the wi-fi is spotty.

3) Make sure your event app works offline

Event apps have become pretty essential to conferences, trade shows, and exhibitions, but not having connection can make them useless. Make sure you event app is available offline and allows attendees to view important information, whether there is a connection or not.

4) Think about third-party solutions

When connection is limited, sometimes its necessary to get your own. There are a variety of vendors that will create temporary wi-fi networks or boost cell signals at your venue to ensure that if you need a connection, you have one.

Weekly Event Read: 1/22

In this week's event read, we look into some the event trends for 2014 along with some guides and planning tips. That is the question.

While the rest of the world is busy fighting over the best platform, event planners are focused on making sure their event apps reach the widest audience. Of course, to accomplish that goal, event planners build cross platform event apps like EventEdge. However, beyond just developing conference apps, it’s important for event organizers to keep their pulse on the status of the various platforms. Plus, if your budget is limited for your event app, organizers should find the right platform to focus on. Each platform has its own technology and drawbacks that can determine how you plan your event. We give you an update on the platform wars below.

Round 1: US Market Share

The US is the most developed smartphone market in the world and is in the midst of an epic battle between Apple and Google for market share. While Android is coming out ahead worldwide, the US is a bit different. Android still leads with 52% of the market, Apple has been gaining ground and is up to 43.5%.

This reflects the successful marketing Apple has done to position themselves as the premium product and as smartphone budgets grow, more people are willing to pay for iPhones. In addition, Apple has a head start on attacking the enterprise market. Android still leads, but its neck and neck and in the US.

Round 2: The Rest of the World

While Apple may be fighting back in the US, Android has taken the rest of the world by storm. With lower cost devices, more options, and better reach, Android has captured an astonishing 80% of worldwide market share. The iPhone is still popular among those that can afford it, but expect Android to continue to dominate.

Round 3: The iPad Effect

One of the ways that iOS has fought back against Android’s popularity is with the dominance of the iPad. While Android tablets are beginning to have a presence, iPad is by far the most used tablet with 84% of all tablet traffic coming from them. In fact, Android users even prefer iPads with 40% of them more likely to by an iPad than an Android tablet.

This becomes a big part of planning for device types, because chances are there is an attendee walking around with an iPad, even if they have an Android device. This gives iOS a leg up when it comes to becoming part of your event.

The Takeaway

So what does this mean for event organizers? When it comes to event apps, you should always go multi-platform, but if you are looking to play with other, more nascent technologies, know your attendees. If you are working with an international audience, choose Android, if you are looking at corporate environments, find out their device of choice.

Introducing: Weekly Event Read 1/15

With the incredible amount of information out there for event organizers, we are launching the 'Weekly Event Read' to showcase some of the best articles from around the internet. After browsing the multitude of stuff at the Consumer Electronics Show in Las Vegas, we think these are the trends and items that will affect event apps and event organizers in 2014.

Wearables

We have mentioned it before, and it seems like 2014 might finally be the year of the wearable. Every where you go in CES, you see new fitness trackers, tracking clothing, and smartwatches. From the Pebble Steel to Bluetooth Smart Jewelry (yes, jewelry), wearables are coming into their own. Event organizers should know that their attendes are more connected and trackable then ever before. With new data streaming in, events can leverage this for gamification, attendee interaction, and better events.

High Quality 4K Rules

The age of the simple projection is over. No longer is HD good enough for events - the age of 4K televisions is upon us. 4K is 4X the quality of 1080HD and every company is tripping over itself to deliver the first consumer models. Every corner of CES if full of 4K televisions and projectors and pretty soon that will be the new standard. For event organizers, it will soon be time to start considering they new displays when setting up projectors, displays or exhibitions.

Next Gen Experience

One of the biggest winners of CES was the amazing new 'Crystal Cove' prototypes that were shown off by Oculus. With full immersion gaming, its hard not to look ahead to the possibilities for events, particularly when it comes to demos and exhibitions. Event organizers should keep their eyes open to these radical next generation experiences and look at ways to spice up events with them.

Internet of Things

One trend that expert has predicted for years, has been the rise of the internet controlled home. Well, CES definitely showed off an industry that is waiting for that explosion. Many companies are hoping the rise of mobility will be the missing piece the world finally embracing the internet of things. For event professionals, we say sit back and relax; it will likely be a while before you need to deal with it.

Its always nice to kick off the year with a look ahead. We hope events down the road have as much excitement as CES.

Happy New Year from EventEdge!

On behalf of everyone at EventEdge, we want to wish you a Happy New Year!! Its time for event planners to start making sure their creatives match the devices your attendees look at the most.

Getting graphic and creative work for an event is an essential part of making sure your event looks amazing. An effective event brand can be the best marketing an organizer can have. Plus, your creative brand can set the tone for your event and convey an attitude to your attendees. The difference between a good event and great event is often the care and effort that went into the creative graphics. Event organizers have mastered a system of creating effective graphics quickly. However, with the onslaught of mobile devices, its time to throw a wrench in the system.

When its time to plan and execute graphics for smartphones, we have learned that its important to follow a different set of rules then when you design for printed media, desktop emails, and websites. Here are a few tips:

1) Keep It Simple

It's not enough to simply reduce the size of your images; it's just as important to simplify as much as you can. However simplification doesn't mean you have water down your brand. Rather, we suggest your strip away the unimportant elements. Remove the patterns in favor or solid colors, concentrate on the major elements, make sure your text is crisp and easily readable, and don't put in too many points of focus.

2) Color Can Be Your Best Friend - or Worst Enemy

Event organizers always want their event to stand out and often use colorful graphics to help. On mobile devices however, color can sometimes draw attention from the information they are trying to emphasize. We recommend using color to draw focus to your app, but simplify pages where information is key. Sometimes white space can be your friend.

3) Use First, Beauty Second

Sometimes lost in the race in the build beautiful event branding is purpose. For event organizers, creating graphics for mobile devices should be more about letting your information shine rather then trying to overdesign. On a small canvas, this can have more impact then a fancy design.

4) Look Before You Publish

One issue with the variety of mobile devices is the different screen sizes you must adapt graphics for. While systems like EventEdge do much of the heavy lifting for organizers, its always good to pull out your device and check before you submit. What may look good in Photoshop may look very different depending on quality and size of a mobile device. Check your graphics on a few different devices and and make sure you are happy with your look before finalizing.

The Basics of PUSH Messaging

As attendees spend more and more time on their mobile devices, before, during, and after an event, event organizers can cut through the clutter by properly leveraging PUSH notifications.

What is the PUSH Message?

PUSH messages are the primary method of notifications on modern mobile devices. Each device platform (Apple, Android, Microsoft, etc) manages their own PUSH service and using it requires the user to have an app installed and permission given to that app to send PUSH Messages.

The convenience of PUSH messages lies in their ability to show notifications whether the user is in a particular app or not. They even work when the app is not open (whether in the background or not). This allows apps to transmit information 24/7/365 as long as the user's device is on and connected to the internet.

How do they work?

PUSH messages go through a few steps before showing up on a device. The organizer first enters them into their EventEdge backend system and chooses which platforms they want to send the message to. From there, it is routed through the Apple Push Notification Server (APNS) or the Android Notification Server. From there, the server sends the messages to the individual devices that have registered by installing a particular application. The device then pops the message up for the user to see. A lot goes into the process to make sure that messages are delivered both quickly and accurately.

How to use them effectively

DO: Use PUSH messages to update users on important/emergency content. PUSH messaging is an incredibly effective way to send out an important notification since it will be the first thing users see when they look at their devices.

DO NOT: Send too many messages. A common issue is known as 'message fatigue' when users stop reading your messages because an organizer is sending them every 5 minutes. Users tend to fully ready and process messages from sources that come in when there is actually important information. We find that anything more 10-12 messages a day starts to bring on message fatigue.

DO: Plan and schedule messages. For the most part, you can usually figure out ahead of time when you want to send messages. Whether it is reminders for sessions, tips for the event, or an important venue change, organizers find it easy to schedule your messages so that users are getting the message right when they need it. For example, we suggest sending out an important venue change 30 minutes before the session (rather then 5 hours) so you are reaching your audience right before they leave.

DO NOT: Send long and wordy messages. With our ever shortening attention spans, long messages tend to get read much less. Keep your messages short and to the point. Have to present a lot of information? You can refer users to a details section or spread it out across a couple of messages.

A few ways our events have used PUSH messages:

> Send activity updates and announcements

> Inform last minute schedule changes

> Create buzz around the featured session or pro shows

> Promote sponsors throughout your event

> Spread super saver deals, discounts and generate leads for exhibitors

> Announce contests, prizes and winners

> Update them about your recent photo and video upload on the app

> Share contact details during emergency situations

> Greet, welcome and say goodbye

> Follow up after the event and remind users of upcoming events

Happy Thanksgiving from EventEdge!

On behalf of all our staff, we would like to wish the entire event professional community a wonderful Thanksgiving!

The New Tech Infrastructure for Events

We all know apps, online registration, and other technology have revolutionized how attendees and organizers experience events, but has also lead to change in infrastructure for event organizers to consider. In this week's blog, we take a look at the 'invisible' new tech needs for events.

Anyone who has been to an event recently knows that technology has drastically changed the way we interact and experience events. Mobile apps and online services are great, but most people don't see the infrastructure that goes behind them. However, its something that event organizers now need to understand and keep in mind when planning their events. We take a look at a few of the tech underpinnings that are becoming essential at events.

Wi-Fi Connectivity

The most obvious new must-have at events is Wi-Fi connectivity. In addition to being needed for event organizers to run the event, attendees now expect it to stay connected. However, providing Wi-Fi is not as easy as it might seem. Most venues run antiquated systems that can't handle the connections or load needed to provide a stable and effective service. Event organizers should plan and try the folliowing:

1) Plan Properly - Wi-Fi is like planning for any event resource, you first have to know what you need. You can calculate how much bandwidth you need by adding together the number of attendees, organizer use, and expected usage. From there, its easy to find a service that will work for you.

2) Separate Yourself - The worst thing for event organizers is to lose connection during check in or important sessions. That is why we always recommend build a private network just for them. That will ensure that you have a connection when you need it.

3) Make Sure It Works Where You Want It To - Just because a hotel or venue has Wi-Fi, it doesn't mean it will work where needed. While booking your venue, walk the halls and classrooms and make sure it works where your attendees will be.

Power, Power, Everywhere

It used to be that attendees only carried a notepad and an event guide. Now, its common to carry a laptop, tablet, smartphone, and other energy hogging devices around your event. Due to the proliferation of devices, its now common to see masses huddled around energy ports, trying to keep their iPhones alive for the rest of the day. For organizers to truly leverage technology, its time to give attendees a way to charge up. At educational events, its becoming more common to have power outlets at every table and many events are now offering sponsorships for standalone charging stations throughout their event. Its something event organizers should definitely plan for.

Cell Strength Matters

Wi-Fi is becoming essential, but cell signal is still the standard for connectivity. With more and more functions on their devices, attendees expect a strong cell signal all the time. Our suggestion is the walk to the venue before signing a contract and make sure no matter where you are in the world, the top couple of carriers get strong signal.

Android 4.4 KitKat - Everything You Need to Know

Google just took the wraps off its latest version of Android, a minor update with a very sweet name. We take a look at what event organizers need to know and how it will affect your event technology in the future.

With the release of Android 4.4, Google has shown what they are hoping to do with the future of mobile system and hopefully take a big step forward in reducing fragmentation. We got our Nexus 5s with KitKat and here are our first thoughts and impressions:

1) Built for Everything

One of the big sources of issues with Android is the fragmentation. Most devices are still running an operating system that is 2+ years old. It terrible for furthering technology because its hard to embrace new technologies in the newest versions when the majority of users are still on old versions. Google is hoping to change that with KitKat. They have tweaked the operating system to run on systems that are slower and with less memory with the hope that manufacturers of low end devices will be able to upgrade to 4.4 regardless of the specs of your device.

2) Pure Google

Android, at its core, is a platform to connect wtih Google services and KitKat puts that front and center. Google Now is not only better, but easier to access. Every Google App has been made smoother and more integrated with the Android core. Plus, search is front and center. You can say 'OK, Google' from any home screen and immediately voice search. And the new dialer automatically searches for businesses every time your make or recieve a call.

3) Smoother / Faster

Android has always felt a half step slower then iOS in previous versions. Google has taken a big step towards fixing this by making animations more fluid, menus less cluttered, and Android more stable all around. Its immediately noticable and really adds to the experience.

4) Mature

Its been 2 years since Google released Android 4.0, their vision for the future of the platform and has been refining since. In 4.4, it finally feels like the platform is maturing. Everything just feels more complete and the platform is integrated in a way that makes sense.

What does it mean for events?

For event organizers, Android 4.4 KitKat could be a boon. As events continue to embrace mobile technology, its hard to plan for the future when attendees are on so many different versions of Android. Planners can't use new technologies like Bluetooth Low Energy until they reach a critical mass of attendees. We hope that 4.4 pushes users to standardize and allow events to embrace newer technologies.

What Will Wearable Tech Mean for Events?

Smartphones have become an essential part of events and our lives in general, but what comes next? Wearable technology has been pegged by almost everyone as the next big thing. For event organizers, wearable technology can be a double-edged sword.

It's already starting. We have already seen the introduction of products like Google Glass, Samsung Galaxy Gear, and many others. While the first generation of these devices may be underwhelming, its clearly the direction that we are heading. For events, this technology represents a big shift in how users can interact and attend events. We looked at the pros and cons as this new technology comes about.

PRO: Move Technology to the Background

The goal of most, if not all, wearables is to remove the screen between you and others while still offering the benefits of connected technology. This could be a big help at events. Interaction, networking, and presentations seem to be an almost existential experience with much of the audience trying to capture and find information on their smartphones. Imagine being able to actually grab event information or get a quick blurb about the speaker without turning on and focusing on a phone. Wearables can actually help balance the line between using technology to augment your experience without hurting it.

CON: Always Connected

What may seem like a positive, can actually be a negative when overdone. Being connected all the time is great, but it can also lead to a more distracted audience. Pulling out a smartphone during a session may be conspicuous, but checking a smartwatch or looking up data on your wearable would be nearly invisible. It could hurt your experience, but at the same time, its an opportunity for organizers to leverage wearables for a better event.

PRO: Better Experience

Like any technology, wearables open the door to an entirely new series of improvements and interactions at events. Imagine being able to track attendance with a smartwatch, push reminders to Google Glass, or use activity trackers for gamification; the possibilities are endless. If event organizers look at wearables as an opportunity to engage, rather the distract, the new technology could be a boon for events.

CON: Security

The biggest concern corporate clients have with wearables is the still undefined security parameters. We view that as a very real issue. With a technology that is still nascent, companies are trying so hard to push out new products that security becomes a back burner issue. For events where security matters, this is not something you want.

Wearables are still in their infancy, but growing up fast. What should event organizers do? Its simple: stay informed and keep your eyes open. We guarantee wearables will start showing up at your events soon. Find ways to leverage the new technology for your benefit.

Have questions or want to continue the discussion? As the brand and its services have declined, the question is what is next for the once great power and how do event professionals give up the devices they love.

What Happened?

Simply put, the iPhone. Before Steve Job's 'magical' device, the smartphone market was Blackberry. Palm was already declining and Blackberry was the hot product. For event professionals, Blackberry represented the best of both worlds. You got a connected device that gave you the information you needed and got ridiculous battery life. Plus, the godsend of BBM. You could stay on top of your event and make sure it went smoothly.

However, as soon as the iPhone came along, Blackberry made a cardinal mistake: they dismissed it. As the iPhone shook up the status quo, Blackberry stayed the course and failed to adapt to the changing market. Smartphones were no longer a business only device; they were for everyone. As soon as Android hit the market as an innovate (and free) platform, Blackberry was already too far behind to catch up.

Whats Next?

Its seems like Blackberry with survive, but in an unrecognizable form. As we have seen, the platform matters as much as the phones or service. Blackberry simply doesn't have the capital or ability to compete with the big boys (Apple, Google, and Microsoft) to compete for consumers. However, that doesn't mean Blackberry won't survive as a niche service. Blackberry is trusted by businesses and their security is still second to none. Expect them to be a smaller product that works exclusively in enterprise.

What are Addicts to do?

The simplicity and usability of Blackberry has led many event professionals to hold on to them in the era of iPhone and Android for good reason. Sometimes, you just need a device that works and does the little things well. With Blackberry on its deathbed, what are these planners that want to swith to do? We came up with some suggestions:

1) Try Before You Buy - iPhone and Android are similar, but VERY different. Each has its own advantages (and disadvantages) that will not become clear until you actually use them. We suggest you borrow a friends, use a tablet with the same OS, or spend as much time as you can trying it out. Both iPhone and Android draw from Blackberry in different ways, so its important to find which one works for you.

2) Backup, Backup, Backup - There is a reason why you have to program apps differently for each platform. They are built on very different technologies. To avoid falling into issues with your data, backup your data in as many places as possible. Event organizers have enough trouble building contacts; rebuilding them would be a major pain.

3) Pain is Temporary - Whenever trying something new, there is always going to be some intial hardship. However, because we use our phones so much, that should dissipate quickly. Event organizers are great at adjusting, so switching platforms should be easy.

Live Q&A: Helping Making Your Sessions Better

The days of raising your hand are over. With mobile technology, constant connectivity, and live feedback, events are using live question and answer to improve their sessions.

Doing a Q&A is an essential part of any event session, whether its a presentation, educational session, or a product introduction. However, the number of sessions doing effective Q&A has gone down recently. Lets explore why:

1) Time consuming - it takes too much time out of a session for speakers to answer every question. For a 50 minute presentation, spending a half hour on Q&A, especially when most of the questions are not universally applicable, is not reasonable for speakers or organizers.

2) Answering every question, including the bad ones - The speaker has no control over which questions to answer when doing a traditional Q&A. For the most part, that means a lot of time is wasted with questions that are either not applicable for most in the session or could better be discussed after the session. Plus, there is no way to stop an inappropriate question until after its been brought up.

3) Organizing is complicated - For large sessions with hundreds of attendees, figuring out a method to let everyone get a question in is difficult. You see people line up behind microphones, try to get attention in a crowded room, or worst of all, get completely forgotten.

How do you solve these issues and still have an effective Q&A?

At EventEdge, we think the solution is using devices attendees already have to make Q&A shine. Along with live polling, question and answer on mobile helps smooth things along. Here is how:

1) Instant & anytime - The speaker/moderator has full control of when to start accepting questions. For the attendees, this means that they can start to submit questions during the session as they think of them without waiting until the end.

2) Only respond to the best + avoid repeats - With our management structure, you can get the questions as they come and choose the hide those you don't like. Plus, attendees can 'up-vote' the ones they like and simply comment on a question they like or want to expand on without reposting.

3) Easy management - The speakers/moderators can easily manage the questions, mark them as answered, and track them as they come in. Plus, with a project view, speakers can show the questions to the audience and keep them informed. All from the convenience of a laptop or tablet.

Is Q&A weighing your event down, find out how we can help today.

How to Time Out Your App

In this instant gratification world, event planners stand out with their ninja-like planning skills. With build times, approval times, and marketing, event apps require some thought ahead of time. Here is a guide to help you out.

Step 1: Finding and signing with an event app provider

When: 4 months before your event

For most events, the first things to get out of the way are the absolute essentails: booking a venue, setting dates, and getting your program started. This can happen anywhere from 6-12 months in advance. After that, its important to start filling in the other 'must-haves' and event apps fit in that category. Your best bet is to start looking for a provider at least 4 months before your event dates. That will give you enough time to get demos, discuss coverage, figure out your feature sets, and build a budget. Once that is completed, sign up with your event provider and get a timeline in place.

Step 2: Working out customizations, graphics, and details

When: 3 months before your event

The first thing to do is work with the app partner to figure out what your event needs. Find the features that fit and get the customizations planned out. You can also work to customize your logos and graphics for mobile devices and make sure your app looks amazing. Once that is done, its time to build.

Step 3: App production, submission, and data management

When: 6 weeks before your event

Your app provider can the build and submit your app while also giving the organizer access to the backend for managing event information. Approval times can vary, but it usually takes 1 day for Android, and up to two weeks for Apple. During that time, the event organizer can import their event information, get their social settings set up, and start to market the app.

Step 4: Release and Marketing

When: 4-5 weeks before your event

As soon as your app is released, its time to market! There are many ways to do it including sending emails to your attendees, building a download site (EventEdge can do that for you), and spreading the work via social media. Once users to start to download the app, they can start conversations with Twitter, mark their favorite schedules, and start to give the organizer the feedback.

Step 5: Enjoy the app and your event!

Our New Admin Panel is On Its Way!

We have secretly been developing a new and improved administration panel for our event organizers and we are happy to say we are getting close to unveiling it to the world. Outside of some new features such as new Mac Pro, iOS in the Car, and iTunes Radio, the biggest news of the day was the radical redesign of iOS to make it look for modern and simplified.

Haven't seen the look yet? They simplified their icons, menus, etc, but managed to also add parallax and depth with faded views. Its a bold experiment, so its interesting to see if it will work.

2) A New Standard - Apple has completely changed the way they built and designed their standard applications. They have simplified (white and flat text) their menus, removed icons, and kept single colors rather then a mix. Its a bold change, and one that may make users less comfortable, but something that keeps up with modern design.

3) Actions Matter - One thing that Apple has really been 'borrowing' from other platforms is interactions and actions to make user experience better. In iOS7 users can swipe from left edge to right to go back and swipe up for an actions menu.

As EventEdge apps evolve, we are excited to see a new perspective from Apple to continue improving their platform.

Check out our new Demo Video!

We just posted a new demo video for EventEdge and wanted to spread the word. It is one of the main reasons we focus on building amazing native apps. We have found that for events especially, having apps that work offline really enhances the experience. Here is why:

1) Always Available - Events are chaos. There is always something going on and sorting through that information is a big enough challenge. The apps for your event should not have attendees walking around, searching for signal. With our sync system, the information is always available, meaning handing out wi-fi passwords or searching for areas to get signal is not an issue. The apps sync when you have data and keep that information available all the time.

2) Speed - Let's face it: we are stretched for time, especially at events. No one has time to sit and wait for every page to be loaded from a limited internet when they need information NOW. The app should load the data quickly and let the user find what they are looking for in an instant.

3) Limit Data - We live in the age where minutes and texts are free and data is where cell companies make their money with data. You should only have to load information once and not spend half your data allowance on constant reloading. Creating an app that only syncs the data makes its available as many times as you need it makes your event experience even better.

Hashtags are Your Best Friend

We live in the age of sharing everything. Most people post status updates, images, articles, videos, or other items on an almost daily basis. And, with so many platforms, all those post tends to get lost in the haze of the internet.

For events, sharing can be a double-edged sword. Productive sharing could be one of the best enhancements to your event and create a really awesome experience for your attendees. However, oversharing by your attendees can bury you and your team in a haze of unrelated social media that can prevent your attendees from leveraging social networks as a positive method of communication.

That brings us to the overlooked hashtag. Hashtags are the tool of choice when trying to cut the fog of social media and get to the posts that really matter. The most popular micro-blogging service, Twitter, and most popular photo sharing service, Instagram, have taken full advantage of this. Your event can choose a hashtag or a series of hashtags and then only get posts related to that tag. The hashtags let you organize the posts so your attendees are seeing only the ones that matter most to them. They are the secret weapon in your event's social network strategy. Plus, with the easy tracking of hashtags, events are using them to conduct polls to getting feedback.

Thats why on our EventEdge system we let you search, organize, and post via hashtag. Whatever we can do to make it a little easier for event organizers.

New Year, New EventEdge!

As we get rolling on a new year, we at EventEdge have been working on some big things and we are excited to share them with the world.

One thing that we are really excited about is the evolution of EventEdge towards an even more amazing platform. Organizers dread the idea of having to communicate schedule changes and attendees often struggle keeping up with changes and planning their day. A powerful and dynamic schedule can make life easy for everyone. Organizers and planners need the ability to stay dynamic and fast. Smart scheduling lets changes occur on the fly and these changes are automatically pushed to native applications displaying the schedule. The changes are automatically updated on the user’s phone. In addition to time and date changes, each scheduled item is linked to its corresponding speaker and to an information or sponsorship page to give a complete picture of what the session is about. Attendees need to have access to the most relevant information and be able to plan their day effectively so they can make the most of their time at the event. Users can view information about each session and take notes relavant to each session. The My Schedule feature allows attendees to design their own schedule based on the common event schedule. This allows them to streamline their day, take interest in the things they really care about and cut the noise relating to everything else. Also since the My Schedule features stays up to date automatically if the organizers change the general schedule. What happens when the data signal drops out or if there is no internet? The scheduling features keep in sync with the cloud, but also store the most relevant information locally allowing the app to fully function without internet access based on the last sync. When the internet comes app so does the sync, its that simple. With all of these features the smart schedule allows both organizers and attendees to get the most out of their day.

Leveraging the Smartphone

Even though cell phones have been around the block a few times, the wide adaptation of the smartphone is a relatively new phenomenon. Having a device in each pocket that is constantly connected to the web and to higher order software provides a unique advantage for events to connect to the attendees. Using smart software a smartphone can become a roadmap for entire event, giving users instant access to information and giving organizers an easy way to distribute information AND collect important data from those users. In addition it eliminates the hassle of printing, correcting, and reprinting conference information packets which nobody seriously reads anyway. These are just the basics, the smartphone can do much more to connect people at the event and even people who aren’t. Using videos, photos, social networking, navigation, and location based services organizers have a unique and constant path to stay in touch with their attendees. The smartphone is reshaping the event experience.

Analytics: Intelligence for Organizers

Analytics is a buzzword in the technology industry. What’s the point of analytics, how can they be useful to event organizers? Analytics provides realistic business intelligence to the event organizer.

Using analytics, organizers can see how attendees are navigating through the event and what areas of the event are of the most interest to the attendees. With information such as which sessions are added to personalize schedules, number of page views for speakers, and which attendees are interested in.

Using this information the organizer can determine how to time, manage, setup, and focus the event to cater to those needs. Since analytics are live, organizers can streamline the event as the event is still going on, using the data to change on the fly and using the app to effectively communicate those changes instantly. Analytics aren’t just a buzzword but rather the smart basis for making decisions for your events.
